1. Who we are

CompanionVoice (“we”, “us”, “our”) operates the CompanionVoice AI phone companion service. This Privacy Policy explains how we collect, use, and protect information when you use our service as a caregiver. It applies to our website, mobile web experience, and the CompanionVoice platform.

We are not a healthcare provider. CompanionVoice is a personal-use caregiving tool and is not subject to HIPAA as a covered entity. See Section 8 for important healthcare context.

2. Information we collect

We collect the following categories of information:

  • Account information. Your name, email address, and password when you create an account.
  • Patient profile information. Information you provide about your loved one — their name, age, relationship to you, living situation, communication style, and dementia-related context. This information is used solely to personalise the AI agent's conversations.
  • Voice recordings. An audio recording of your voice, collected once during setup and used exclusively to create a voice clone for the AI agent. The original recording is not retained after the voice clone is generated.
  • Call transcripts. After each call between the AI agent and your loved one, a text transcript is generated and stored. We do not retain audio recordings of calls.
  • Usage data. Call duration, call frequency, and timestamps. Basic web analytics (pages visited, session length) to improve the service.
  • Billing information. Payment is handled by Stripe. We do not store full card numbers or sensitive payment details. We receive billing status, subscription state, and the last four digits of your card from Stripe.

3. How we use your information

We use the information we collect to:

  • Operate the CompanionVoice service and answer calls on your behalf
  • Personalise the AI agent to reflect your voice, your relationship, and your loved one's needs
  • Provide you with call history and transcript summaries in your dashboard
  • Process your subscription and manage billing
  • Send transactional communications about your account (receipts, service notices)
  • Improve the reliability and quality of the service
  • Respond to your support requests

We do not use call transcripts or patient profile information for model training, advertising, or any purpose other than operating the service for you.

4. How we protect your information

All data is encrypted in transit (TLS 1.2+) and at rest. Access to production systems is restricted to authorised personnel only.

We do not sell, rent, or share your personal information or your loved one's information with third parties for commercial purposes.

CompanionVoice staff do not access the content of individual call transcripts except where required by applicable law, to investigate a safety concern raised by a user, or where you have explicitly requested support that requires it.

We use trusted third-party infrastructure providers (Supabase for database, Retell AI for call handling, ElevenLabs for voice synthesis, Twilio for telephony, Stripe for billing). Each of these providers is subject to their own data processing agreements consistent with applicable privacy laws.

5. Data retention

  • Account and profile data is retained for the duration of your active subscription plus 30 days following cancellation, after which it is deleted.
  • Call transcripts are retained for 12 months from the date of the call. You may request earlier deletion at any time.
  • Voice profiles (your cloned voice) are deleted upon account closure. You may request deletion at any time by contacting us.

6. Your rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Object to or restrict certain types of processing

7. Children

CompanionVoice is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.

8. Healthcare disclaimer

CompanionVoice is not a medical device and is not intended to replace professional medical care, clinical assessment, or licensed healthcare services. It is designed for personal use by family caregivers and should not be used as a primary safety monitoring system for individuals requiring continuous clinical supervision.

The information you provide about your loved one is used only to improve the quality of AI conversations and is not used for any clinical or diagnostic purpose.

9. Changes to this policy

If we make material changes to this Privacy Policy, we will notify you by email at least 30 days before the changes take effect. Continued use of the service after that date constitutes your acceptance of the updated policy.
